Background:
In the absence of a Program Director, I worked closely with the Executive Director to run the day-to-day operations of the center which includes managing volunteers, assisting in-house teachers, organizing community events, and other program activities.
Role: Program Admin & Volunteer Management
Volunteer Orientation and Coordination:
Conducted one-on-one and group orientations about the organization and its advocacy, expectations, and guidelines.
Regularly communicated with volunteers through email, text, and in-person methods.
Daily Operations:
Developed a set of procedures for how the volunteers, kids, and staff will move around whenever there is a class - what to do and where to go before, during, and after to avoid or limit clashes and distractions.
Advised in monthly meal planning and daily meal preparation to safeguard hygienic procedures and verify all kids received adequate meal servings.
Ensured kids' safety by following safety protocols and raising potential safety risks to the team to be addressed collectively.
Identified communication challenges caused by the pandemic and conceptualized a COVID communication plan by incorporating previous modes of communication and creating an exclusive Facebook Group to communicate with parents, student scholars, and volunteers during COVID quarantine; the group is still active today and growing in numbers.
Data Management & Report:
Introduced a system to monitor class attendance more accurately through a 3-step process.
Utilized Google Sheets to update the database of 500+ children in close coordination with teachers, which helped the team distribute limited resources and donations during the first COVID quarantine and served as a basis for transparency reports.
Translation of a letter given by one of the kids in the program to me:
Big Sister Liza, thank you for putting in the effort to take care of us like you are our second parent. Love Riannalyn.
